Facility Management Specialist

Main duties and responsibilities
- Manage day-to-day facility matters
- Finance support - Prepare received invoices for accounting, scan paper invoices to digital repository, support in daily paper correspondence where required, produce different reports when requested, and support finance by providing data, reports, and analyses as required
- Manage company car fleet
- Manage parking spots in the garage
- Order parking tickets for visitors
- Support Onboarding - Issuing access cards to newcomers as well as provide access cards to externals upon the manager’s request
- Manage mobile phones - Maintain corporate mobile phone bundles, support Field Service in maintaining an accurate record per entity and cost center allocation, support leaving employees with requests to keep the corporate mobile phone number for private use, forward monthly invoices to respective Accounts Payable teams and check monthly invoices for any discrepancies or inaccuracies
- Asset inventory
- Manage premises-related contracts - Keep office premises and related contracts in a transparent order, make sure that termination of those contracts which are to be ended by Global Blue’s own decision be communicated to the vendor in a timely manner, i.e. respecting cancellation terms and deadlines
Background and Education
- High school or higher degree
- Fluency in written and spoken English and German
- Work experience is beneficial but not a must
- Good knowledge of MS Office (Word, Excel, PowerPoint)
- Strong team player
- Detail oriented
- Independently identifies key issues, patterns or deviations
- Diligent and accurate working style
- Willingness to learn, openness and flexibility to take on new tasks and challenges
- Ability to set priorities and meet deadlines
- Collaborates with others across teams
